Scope: These Terms of Service apply to the GOXEM website (goxem.net), the GOXEM platform, and all GOXEM products — including but not limited to DERSIS (scheduling system), SINAPSIS (coming soon), and any other current or future tools, modules, services, desktop applications, and APIs provided under the GOXEM brand. By using any part of the GOXEM ecosystem, you agree to these terms in full.

1. Terms and Conditions

By accessing or using the GOXEM platform, website, desktop applications, or any associated services, you agree to be bound by these Terms of Service. If you do not agree to any part of these terms, you must not use the platform.

These terms constitute a legally binding agreement between you ("User," "you") and GOXEM ("we," "us," "our"). We reserve the right to update or modify these terms at any time. Changes will be posted on this page with an updated effective date. Continued use of the platform after changes constitutes acceptance of the revised terms.

You must be at least 16 years of age to create an account and use the platform. By registering, you confirm that you meet this age requirement and that all information you provide is accurate and complete.

2. Product and Service Description

GOXEM is an academic operating system — an integrated ecosystem where academic community, professional identity, and daily workflows converge into one platform. It is designed for academic institutions, faculty, coordinators, and researchers.

The GOXEM Platform

The GOXEM platform includes a structured academic community forum, user profiles with ORCID integration, academic publication tracking, newsletters, and a suite of operational modules for institutional workflows.

DERSIS — Scheduling Module

DERSIS is a constraint-aware, AI-assisted timetable and scheduling system available as a desktop application. It provides automated schedule generation, conflict detection, multi-perspective views, bulk scheduling, professional exports, and tier-based access to advanced features such as AI optimization, analytics, and multi-department management.

DERSIS operates on a subscription model with multiple tiers (Free, Starter, Professional, Max, and Institutional), each with defined limits on schedules, classes, classrooms, lecturers, and connected devices.

Future Modules

Additional modules such as SINAPSIS (assessment management) and other tools may be introduced. Each module will be subject to these Terms of Service unless separate terms are explicitly provided.

3. Subscription, Plans, and Billing

GOXEM products may offer free and paid subscription tiers. Paid plans are billed on a monthly or annual basis, depending on the plan selected at the time of purchase.

  • Prices are displayed in your selected currency at checkout. All amounts are exclusive of applicable taxes unless stated otherwise.
  • Subscriptions automatically renew at the end of each billing cycle unless cancelled before the renewal date.
  • Upgrading your plan takes effect immediately. The price difference is prorated for the remainder of the current billing cycle.
  • Downgrading your plan takes effect at the start of the next billing cycle. You retain access to your current tier's features until then.
  • Free tiers are available indefinitely but may have feature and capacity limitations that differ from paid plans.
  • We reserve the right to change pricing with at least 30 days' notice to active subscribers before the change applies to their next billing cycle.

Institutional and custom plans are handled separately and may involve individual agreements, purchase orders, or invoicing. Contact us for details.

4. Refund Policy

GOXEM products are delivered as digital subscription services. Due to the nature of digital goods and instant access upon payment, refunds are limited.

  • You may request a refund within 7 days of your initial purchase if you have not substantially used the paid features. This applies to first-time purchases only.
  • Renewal charges are not eligible for refunds. It is your responsibility to cancel before the renewal date if you no longer wish to continue.
  • Refund requests must be submitted via our contact form or email. Each request is reviewed individually.
  • Abuse of the refund process — including repeated purchases and refund requests — may result in denial of future refunds and account restrictions.
  • Institutional or custom agreements may have separate refund terms as outlined in their individual contracts.

We reserve the right to deny refund requests that do not meet the criteria above. Approved refunds are processed within 10 business days to the original payment method.

5. Privacy Policy

This section describes how GOXEM collects, uses, stores, and protects your personal information across the platform and all its products.

Information We Collect

  • Account Information: Name, email address, password (hashed), institution, and optionally your ORCID identifier and profile picture.
  • Profile Data: Research interests, biography, publications, and peer endorsements you choose to provide.
  • Usage Data: Pages visited, features used, session duration, device type, browser information, and IP address.
  • Product Data: Schedules, timetables, and configuration data created within GOXEM products such as DERSIS.
  • Device Information: For desktop applications, a hardware-derived device identifier is used for license binding. This does not include personally identifiable hardware details.
  • Communication Data: Messages sent through the platform's messaging system, forum posts, and contact form submissions.

How We Use Your Information

  • To provide, maintain, and improve the platform and its products.
  • To manage your account, subscription, and license.
  • To communicate with you about updates, billing, and support.
  • To enforce our terms and prevent fraud or abuse.
  • To generate anonymized, aggregated analytics to improve our services.

Third-Party Services

We may use third-party services for the following purposes:

  • Payment Processing: Payments are handled by third-party payment processors. We do not store your full credit card information on our servers.
  • Email Services: Transactional emails (account verification, password reset, notifications) may be sent through third-party email providers.
  • ORCID Integration: If you connect your ORCID account, we receive your ORCID identifier and public profile information as authorized by you.

Data Security

We implement industry-standard security measures to protect your data, including encrypted connections (HTTPS/TLS), hashed passwords, and access controls. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your Rights

  • Access: You may request a copy of the personal data we hold about you.
  • Correction: You may update or correct your personal information through your account settings.
  • Deletion: You may request the deletion of your account and associated personal data. Some data may be retained as required by law or for legitimate business purposes.
  • Data Portability: You may request an export of your data in a commonly used format where technically feasible.
  • Withdrawal of Consent: Where processing is based on consent, you may withdraw it at any time by contacting us.

Data Retention

We retain your personal data for as long as your account is active or as needed to provide services. After account deletion, we may retain certain data for a reasonable period to comply with legal obligations, resolve disputes, or enforce agreements.

The platform uses cookies and local storage for essential purposes such as maintaining your session, storing your language preference, and keeping you logged in. We do not use tracking cookies for advertising purposes.

6. Account and Access Rules

  • You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account.
  • Each account is for a single individual. Account sharing or transferring credentials to another person is not permitted.
  • Desktop applications are bound to a limited number of devices as specified by your subscription tier. Exceeding your device limit requires upgrading your plan or deactivating an existing device.
  • You must notify us immediately if you suspect unauthorized access to your account.
  • We reserve the right to suspend or disable accounts that violate these terms, exhibit suspicious activity, or remain inactive for an extended period.

7. Acceptable Use

You agree to use the GOXEM platform and its products only for lawful purposes and in accordance with these terms. You must not:

  • Use the platform for any illegal, fraudulent, or harmful activity.
  • Attempt to reverse-engineer, decompile, or disassemble any GOXEM software or products.
  • Redistribute, resell, sublicense, or commercially exploit the platform or any of its products without written authorization.
  • Interfere with or disrupt the platform, servers, or networks connected to the service.
  • Upload, post, or transmit content that is defamatory, abusive, threatening, or infringes on the rights of others.
  • Create multiple accounts for the purpose of circumventing tier limits, bans, or other restrictions.
  • Use automated tools, bots, or scrapers to access the platform without prior written consent.

Violation of acceptable use policies may result in immediate suspension or termination of your account without notice.

8. Intellectual Property

All content, software, design, logos, trademarks, and other intellectual property associated with GOXEM and its products (including DERSIS) are the exclusive property of GOXEM or its licensors and are protected by applicable intellectual property laws.

Your subscription grants you a limited, non-exclusive, non-transferable, revocable license to use the products for their intended purpose during your active subscription period.

Content you create within the platform — such as schedules, forum posts, or profile information — remains yours. By submitting content to community areas of the platform (forums, comments), you grant GOXEM a non-exclusive license to display and distribute that content within the platform.

9. Data Handling and User Data Responsibility

You are solely responsible for the data you enter into the platform, including schedule data, institutional information, and any personal data of third parties (such as instructor names or student group identifiers).

  • You must ensure that you have the right to enter and process any third-party data you provide to the platform.
  • GOXEM processes your data as described in the Privacy Policy section above and does not sell user data to third parties.
  • We perform regular backups to protect against data loss, but we recommend that you also maintain your own copies of critical data.
  • Upon account deletion, your data will be removed from active systems. Certain data may be retained in backups for a limited period as outlined in our data retention practices.

10. Availability and Service Changes

We strive to keep the platform and all products available and reliable. However, we do not guarantee uninterrupted or error-free access.

  • The platform may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control.
  • We may modify, update, or discontinue features, modules, or entire products at our discretion. Where feasible, we will provide advance notice of significant changes.
  • Desktop applications include an offline grace period for license validation. If the application cannot connect to our servers, functionality may be temporarily preserved but will require reconnection within the defined grace period.
  • We may require minimum software versions for continued access to certain features or services.

11. Limitation of Liability and Disclaimer

The GOXEM platform and all its products are provided on an "as is" and "as available" basis without warranties of any kind, whether express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement.

To the maximum extent permitted by law, GOXEM and its officers, employees, and affiliates shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of or inability to use the platform, including but not limited to:

  • Loss of data, schedules, or configurations.
  • Scheduling errors, conflicts, or institutional disruptions arising from reliance on automated outputs.
  • Interruptions to service availability.
  • Unauthorized access to your account due to your failure to maintain credential security.

Our total aggregate liability for any claims arising from these terms or your use of the platform shall not exceed the amount you paid to GOXEM in the 12 months preceding the claim.

12. Termination

You may cancel your subscription and close your account at any time through your account settings or by contacting us.

  • Upon cancellation, you retain access to paid features until the end of your current billing cycle.
  • We may suspend or terminate your account at any time if you violate these terms, with or without prior notice depending on the severity of the violation.
  • Upon termination, your license to use GOXEM products is immediately revoked. You should export any data you wish to retain before account closure.
  • Sections related to intellectual property, limitation of liability, and data handling survive termination of these terms.
